
Based in Moorabbin, our client are looking to hire a Full-Time Administration (projects) person (preferably with some general admin experience), with the potential to work towards being a junior project admin in the future.
Please see below key responsibilities for the role, which will also include gradual introduction to projects.
Key Responsibilities:
- Data entry into JMS, ensuring accuracy of records
- Liaising with the client, technicians, suppliers, and tenants regarding job status and details
- Preparing, supplying and processing invoices
- Day to day processing of invoices and matching purchase orders
- Producing Reports
- Working closely with other employees of the Company
- Ability to provide prompt customer service to all email and phone requests.
- Answering incoming calls
- Build positive relationships with Clients, Trades & Suppliers
- Drafting and amending documents as required
- Sourcing and ordering materials and monitoring deliveries
- General administration duties as required (filing, photocopying, scanning, printing of plans)
- Being the focal point for enquiries and keeping senior management advised of any outstanding issues.
Projects works including:
- Project Coordination Support – assisting in the development and maintenance of project plans, monitoring progress, providing updates to the Project Manager and stakeholders and coordinating project meetings
- Project admin support from tender phase through to project completion.
- Administrative Support – maintaining accurate project documentation, tracking and managing budgets and invoices, assist with planning, coordinating, and managing project schedules and timelines and preparing and distributing project-related communication along with supporting project managers with administrative tasks, including documentation and reporting.
- Compliance and Reporting – ensuring project compliance with internal policies, regulations, and safety standards and maintaining project files, records and reports with version control for easy access and reference.
- Continuous Improvement – identifying opportunities to develop project administrative processes and supporting the implementation of improvements.
